Privacy Policy

1. Information We Collect

When you use FaxTerra to send a fax, we collect the following information:

  • Email address: Used to send delivery confirmation and failure notifications.
  • Fax number: The recipient's fax number you provide.
  • Name (optional): Sender and recipient names for the optional cover page.
  • Documents: Files you upload for faxing.
  • IP address: Collected automatically for abuse prevention. Retained for 90 days, then deleted.

2. How We Use Your Information

  • To send the fax you requested.
  • To send delivery confirmation or failure notifications via email.
  • To enforce rate limits and prevent abuse.
  • To process payments via Stripe (for paid faxes).

3. Document Storage & Retention

Documents you upload are stored on Cloudflare R2 (encrypted at rest with AES-256). We enforce the following retention windows:

  • Uploaded files: Automatically deleted within 24 hours of upload.
  • Sent fax PDFs: Retained for 30 days to support delivery confirmation and troubleshooting, then automatically deleted. Fax metadata (recipient, status, timestamps) remains in your history.
  • Received fax PDFs: Retained based on your plan's default (90 days for Free and Starter plans, 1 year for Business). You can adjust your inbox retention period in Settings.
  • Cover page messages: Redacted from our database 30 days after delivery. The message remains only on the delivered fax itself.
  • IP addresses: Retained for 90 days for abuse prevention, then deleted.

A daily audit job verifies that these retention policies are being enforced.

4. Third-Party Services

We use the following third-party services:

  • Telnyx: Fax delivery provider. Your document and recipient number are transmitted to Telnyx for fax delivery.
  • Stripe: Payment processing. Stripe handles all credit card information directly — we never see or store card details.
  • Cloudflare R2: Document storage (encrypted at rest).
  • Resend: Email delivery for account notifications and occasional product/feedback emails (see “Email Communications” below).
  • Neon: Database hosting.
  • Vercel: Application hosting.

5. Data Sharing

We do not sell, rent, or share your personal information with third parties for marketing purposes. We only share information with the third-party services listed above as necessary to provide our service.

6. Email Communications

We send two kinds of email. Account emails (fax delivery confirmations, payment receipts, security and sign-in messages) are required to provide the service, and you receive them as long as you have an account. We also send occasional product updates and one-question feedback requests — these are optional and you can opt out at any time using the unsubscribe link in any such email or from your notification settings.

Our legal basis for the optional emails depends on your location. If you are in the EEA, the UK, or Switzerland, we send them only with your consent (collected via an optional checkbox at sign-up). Elsewhere, we send them on the basis of legitimate interest in improving the product, and you may object at any time by unsubscribing. Unsubscribing never affects the account emails above.

7. Cookies

We use essential cookies for authentication and session management. We also use analytics and advertising cookies — Microsoft Advertising (UET), Google Analytics & Google Ads, and PostHog (product analytics and session replay) — to understand how our site is used and to measure our advertising. If you visit from the EEA, the UK, or Switzerland, these analytics and advertising cookies are off by default and load only after you accept them in our cookie banner; you can decline with one click, and we’ll set only the essential cookies. Elsewhere they are enabled by default. You can clear cookies at any time in your browser.

8. Your Rights

You have the right to:

  • Delete your account: You can delete your account from your Settings page. This anonymizes your personal data and removes your fax documents.
  • Request your data: Email privacy@faxterra.com to request a copy of your data. We will respond within 30 days.
  • Adjust retention: Subscribers can adjust their inbox retention period from Settings.
  • Opt out of product/feedback emails: Use the unsubscribe link in any such email or your notification settings. Account emails are unaffected.

9. Changes

We may update this policy from time to time. We will post the updated policy on this page with a revised "Last updated" date.
